What’s the best way to communicate with your real estate agent during a real estate transaction?
The best communication with a real estate agent is clear, direct, and documented when necessary. Quick questions may work well through text or email, but larger discussions involving contracts, pricing, negotiations, or financial terms should usually happen over a phone call followed by written confirmation.
Different Types of Communication Matter in Real Estate
One thing I always explain to buyers and sellers here in Jacksonville and throughout Northeast Florida is that not every conversation should happen the same way. Real estate transactions move quickly, and communication can make or break a smooth deal.
For smaller items, I personally like quick emails or text messages. If a buyer wants to confirm a showing time, ask about a property detail, or send over a quick question, text messaging works great because it’s fast and convenient.
But anytime there is communication that requires detail, explanation, negotiation, or clarification, I strongly prefer an actual phone call.

Why Phone Calls Are Still Important
Some conversations simply deserve more than a short text.

Items being added or removed from the contract
then I usually recommend talking by phone first so everyone clearly understands the situation.
After the call, I like to follow up with a text message or email summarizing the request or agreement. That written communication creates a record of what was discussed and helps prevent confusion later.
That extra step can protect both the customer and the agent.
Written Communication Helps Avoid Misunderstandings
Real estate transactions involve deadlines, legal paperwork, financial obligations, and multiple parties working together at the same time.
Having things in writing becomes extremely important.
For example, if a buyer requests seller concessions toward closing costs, or a seller wants to remove an appliance from the contract, I want that documented clearly so there is no confusion later during negotiations or before closing.
Many misunderstandings in real estate do not happen because someone had bad intentions. They happen because people assumed everyone understood the same thing.
Clear communication fixes most of those problems before they ever become serious.
Be Honest With Your Agent
One of the best things a buyer or seller can do is simply be honest with their real estate agent.
